Calgary - Matter Management Analyst

The Matter Management Analyst role supports the successful operation of the Matter Management and Accounting practices by assisting in the development and maintenance of efficient client intake practices, procedures and policies; further to providing superior customer service to all staff while maintaining day-to-day responsibilities.

Essential Functions 

  • Conduct conflict searches as requested and perform on call responsibilities on a rotation basis
  • Open clients matters through workflow
  • Opening of  previously closed matter maintenance by processing, review requests for necessary approvals, consistencies and accuracy, enter changes into system with corresponding notes for historical support
  • Create, Apply and Maintain Phase and task codes on client matters
  • Create, Apply and Maintain Client/Matter timekeeper and expense rates
  • Revalue WIP on matters after rate changes
  • Respond to Rate requests
  • Work within ebilling systems to:
    • set up new clients
    • manage rates
    • submit invoices, accruals, budget maintain system information
  • Collaborate with Assistants and Lawyers to obtain accurate accrual and budget information for ebilling clients
  • Collaborate with the billing team to update client/matters to enable efficient billing practices
  • Support Ethical Wall processes and requests
  • Answer and process requests via e-mail and phone
  • Administration of client and matter information in accounting software
  • Ensure data complies in accordance with relevant regulations and Law Society rules
  • Process and respond to inquiries from internal and external clients
  • Conduct new hire training for Matter Intake processes
  • Continually evaluate process and procedures for efficiencies; coupled with documenting, creating and updating existing process and procedures
  • Ensure all responsibilities are managed in accordance to Bennett Jones policies
  • Promote department services
  • Other projects as assigned 
     

Qualifications

  • Possess proficient computer skills
  • Ability to analyze a variety of circumstances and be solution oriented
  • Ability to work in a fast paced demanding environment
  • Technical skill to work within 35+ ebilling systems
  • Knowledgeable in utilizing Microsoft products and industry software
  • Strong organizational skills
  • Excellent communication and interpersonal skills
  • Aptitude to work independently and in a team environment
  • Keen attention to detail
  • Strong customer service skills
  • Law Firm experience with conflict searches and matter opening
  • eBilling experience is an asset
  • 4 Years of working experience within a law firm or similar intake and accounting qualifications
  • Occasional overtime may be required to achieve specified deadlines
